Refund Policy for Visa Refusals

This Visa Refusal Refund Policy applies exclusively to registrants who require a UK visa and who have enrolled under our Special Refund Guarantee. Eligibility for a refund is contingent upon the complete submission and verification of all required documents listed below, as well as strict adherence to each procedural step and timeline. Only candidates whose documentation is formally approved by the International Trade Counciland who submit their visa application within the prescribed deadlines will qualify for this guarantee.

  
Please note that refunds will not be issued if any required information is incomplete, withheld, or inaccurate—such as undisclosed past visa refusals, failure to demonstrate financial self-sufficiency, or the presence of a close relative residing in the United Kingdom. In addition, any deviation from the specified timelines (e.g., late submission of your visa application) or failure to respond promptly to requests from the UK diplomatic office will void the guarantee. 1. Document Submission & Pre-Qualification

Before any payment is made or Letter of Invitation issued, please submit scanned copies of the following documents (these mirror exactly what the UK Embassy will require):

  1. Certificate of Incorporation
  2. Proof of Commercial Premises – signed lease agreement or title deed
  3. Proof of Personal Residence – recent utility bill (electricity, water, gas, internet or telephone) in your name
  4. Valid Passport – photo page
  5. Family Status – marriage certificate and birth certificates for any dependents
  6. Business Bank Statement – showing at least three months of transaction history
  7. Personal Bank Statement – showing at least three months of transaction history
  8. Police Clearance Certificate – or equivalent criminal-record check
  9. Reference List – details of ten existing international clients (name, company, contact information)
  10. Notarized Attestation confirming that, within the past ten years:
    • You have never been refused a visa for the UK, US, Canada, Australia, New Zealand, or any EU country.
    • You have never been deported from or overstayed in any country.
    • You have no criminal convictions in any jurisdiction.

 

Family/Additional Attendees:

  • You may not bring spouses, children, or other relatives unless each additional attendee is approved in advance by us.
  • For every additional attendee, we require the same documents, declarations, and timelines as above.

Once we have received and verified these documents, we will:

  • Issue a Formal Agreement outlining our commitment to refund your full event fee should your UK visa be refused despite compliance with all requirements.
  • Provide the Official Letter of Invitation on ICT letterhead, signed by our Trustee.

 

2. Visa Application & Timelines

To trigger the refund guarantee, you must:

  1. Pay the Embassy/Consulate Fees (and provide proof of payment) within 7 days of receiving our Letter of Invitation.
  2. Submit your visa application to a diplomatic office (Embassy, High Commission, Consulate, or their exclusive government-appointed agency such as VFS) within those same 15 days.
  3. Provide us immediately with your official visa-lodgement receipt and tracking details so we can monitor your application online.
  4. Respond promptly to any requests for additional information or documentation from the UK diplomatic office or its official visa-processing representative—within four calendar days of each request.

 

Late Lodgement & Publication:

  • If your application is submitted after the 15-day deadline, no refund will be possible.
  • We will also withhold final publication of your name in delegate books and scheduling of any B2B meetings until your visa is officially approved.

 
3. Refund Guarantee

  • If, after you have submitted a fully complete application (with proof of embassy payment and tracking details) and cooperated with every request within the prescribed timeframes, the UK visa is officially refused, we will refund your full event fee within seven business days of our receipt of the visa refusal notice.
  • No refunds are available under any of the following circumstances:
    • Failure to submit required documents, missing payment or application deadlines, or providing misleading information.
    • Failure to respond to requests from the visa office within the specified timeframes.
    • Payment to us failing, being reversed via credit-card chargeback before completing our notification process, or not clearing into our nominated bank account.
    • “Acts of God” (e.g., terrorism, fire, floods, war), illness or other inability of you or your representatives to travel, or any circumstance outside reasonable control. (We strongly recommend you secure comprehensive travel insurance to cover such risks.)
